This page is a central reference for VE Voice Coaches teaching under the Vocal Euphoria brand.
It’s here to help you get set up smoothly and understand how things work day to day.

Coach Terms & Conditions

These outline day-to-day expectations and operating guidelines for VE Voice Coaches.

Getting Started

Before you begin teaching, the following must be in place:

You will arrange:

  • a dedicated business phone number
  • a cozy teaching space set up for in-person and/or online lessons
  • a completed police record check

I will provide:

  • a vocaleuphoria.com email address
  • access to the Vocal Euphoria Zoom account for online sessions
  • access to the Vocal Euphoria SimplyBook system

You’ll be given access to Vocal Euphoria systems needed to teach and manage your work, including:

  • SimplyBook – to manage your availability, bookings, and clients
  • Zoom – to host your own online sessions
  • WordPress – limited to your coach bio and coach-specific content

You will not have access to:

  • other coaches’ settings or content
  • pricing, packages, or policies
  • system-wide configurations or site structure

Each VE Voice Coach is provided with a vocaleuphoria.com email address.

This email is used for:

  • client communication
  • booking notifications
  • studio-related correspondence

Vocal Euphoria uses a shared Zoom account.

Each VE Voice Coach is added as a licensed user and hosts their own meetings.
Zoom links are generated automatically through SimplyBook.

This setup allows multiple coaches to teach online at the same time.

VE Voice Coaches use a dedicated business phone number for client communication.
There are a few easy ways to do this. Choose what works best for you.

Option 1: Dual SIM / eSIM
Many newer phones support dual SIM or eSIM, allowing you to use:

  • one number for personal use
  • one number for business
    Both numbers can live on the same device. This is the setup I use myself.

Option 2: App-based phone number
Some coaches prefer a separate number that runs through an app.

One option is:

This allows you to:

  • get a new phone number
  • use it through a mobile app
  • keep business calls and texts separate

Other similar services are fine as well.
The key is having a clear, reliable business number.

I ask that VE Voice Coaches are reachable by clients through all three of the following:

  • Email (vocaleuphoria.com address)
  • SMS (business phone number)
  • Phone calls (business phone number)
  • WhatsApp Business (recommended for international students)

These channels ensure clients can reach you easily regardless of location or situation.

If you use WhatsApp Business, please use:

  • your own business phone number
  • a display name that includes your name alongside Vocal Euphoria

Examples:

  • Vocal Euphoria · Coach Ali
  • Coach Ali | Vocal Euphoria

Please do not present yourself as “Vocal Euphoria” on its own.
Your name should always be included.

WhatsApp is especially useful for long-distance students.

Voicemail is optional. While many clients prefer texting, some may still call and leave a voicemail.

If you choose to use voicemail, please record the following greeting in your own voice:

“Hi, you’ve reached Vocal Euphoria. This is Coach [Name] — leave a message!”

If you don’t use voicemail, please make sure SMS, WhatsApp, and email are checked regularly.

Teaching & Sessions

As a VE Voice Coach, you choose your own teaching hours and manage your own availability.

You offer the same singing services and packages available through Vocal Euphoria,
while bringing your own strengths, experience, and ideas to your teaching.

Before you begin teaching, I like to touch base with you about how you approach your Intro Session,
just to make sure we’re aligned on the overall experience for new students.

After your first day of teaching, we’ll check in again to see how things felt in practice
and talk through anything that came up.

These conversations are supportive and reflective, not evaluative.
Ongoing check-ins happen as needed.

I don’t expect you to teach the way I teach.

I do encourage you to:

  • brainstorm lesson ideas
  • develop your own lesson plans
  • adapt sessions to the individual student

Your Intro Session should help students feel comfortable,
experience progress, and feel clear about next steps.

There’s no single right way to do this.
Clarity and momentum matter more than structure.

Because you represent the Vocal Euphoria brand, I do have reasonable expectations for your teaching environment.

Your teaching space should be:

  • clean and hygienic
  • warm, cozy, and welcoming
  • professional but relaxed
  • reflective of your music and personality

Please keep a jug of water and glasses available so students can help themselves without needing to ask.

There’s no single “correct” setup, and most coaches build their space over time using what they already have.

To give you ideas, here’s how my own setup evolved.

Early days:

  • pitch pipe
  • full-length mirror (I wrote steps on it with a dry-erase marker)
  • YouTube karaoke tracks played from a computer

Later:

  • iPad instead of pitch pipe and computer
  • GarageBand as a simple piano
  • Apple TV to project piano and lyrics

Current setup:

  • full-length 88-key keyboard (Yamaha P90)
  • Amazon Fire Stick connected to YouTube for karaoke tracks
  • iPad as backup
  • simple charts students can hold and follow
  • speaker and/or guitar amp (I use a Bose L1 Compact for both keyboard and guitar)
  • a guitar available for students who sing while playing
  • tuner and guitar picks kept on hand

Use what you already own and build from there — the goal is a space that feels comfortable, musical, and unmistakably Vocal Euphoria.

Booking, Clients & Payments

All sessions are booked through SimplyBook.

Each VE Voice Coach has:

  • their own services
  • their own availability
  • their own booking links

Clients book directly with the coach they choose.

Each VE Voice Coach will have a discovery call booking option on their profile within the Vocal Euphoria booking system.

Discovery calls are a standard part of the Vocal Euphoria onboarding experience for new students, while coaches retain full control over when they offer them.

Any scheduled discovery call must be clearly associated with the individual coach and not routed through me or another coach.

While bookings run through the Vocal Euphoria system, I respect that the coaching relationship itself is personal.

If you ever stop teaching with Vocal Euphoria, you’re free to take your clients with you.

My goal is for this to feel clean, respectful, and drama-free for everyone.

Coach payments are handled monthly.

Payments are issued on the 15th of each month,
covering completed sessions from the previous period.

Specific payment details are handled separately
and may vary by coach.

Payments are issued via e-transfer.

Brand & Website

I’ll provide you with approved Vocal Euphoria brand assets,
including the logo, for studio-related use.

These may be used for:

  • your coach bio on vocaleuphoria.com
  • your VE email signature
  • WhatsApp Business (with your name included)

The Vocal Euphoria name and logo should always appear alongside your name,
not on their own.

If you ever stop teaching under the Vocal Euphoria brand,
these assets should no longer be used.

You’ll have access to WordPress to manage your own coach-specific content, such as:

  • your bio
  • your photo
  • your “Work with [Your Name]” section or page

Please don’t edit:

  • other coaches’ content
  • pricing pages
  • policies
  • core site structure

If you’d like something changed outside your section, just ask.

If an opportunity comes up where you’d like to teach, present, collaborate,
or co-teach with me using the Vocal Euphoria name,
please check in with me first so we can make sure we’re aligned.

This includes:

  • workshops
  • events
  • collaborations
  • external teaching opportunities

Requirements & Admin

Vocal Euphoria maintains business insurance covering coaching services delivered under the Vocal Euphoria brand.

This coverage does not extend to:

  • a coach’s home or personal property
  • damage to a coach’s equipment
  • incidents related to the coach’s physical teaching space

For coaches teaching from their own home or private studio, personal professional liability insurance is strongly recommended, even though it is not required.

Many renters and homeowners assume other policies cover teaching activity — they often do not.

Coaches are encouraged to speak with:

  • their own insurance provider, or
  • the Vocal Euphoria insurance broker

to understand what is and is not covered.

Before you begin teaching under the Vocal Euphoria brand,
I require a police record check.

What to apply for:

  • Criminal Record & Judicial Matters Check
  • Category: Employment / Other
  • Cost: approximately $26.72 CAD

What this check covers:

  • criminal convictions
  • outstanding charges or warrants
  • active court orders

It does not include vulnerable sector screening.

If you live outside Toronto,
apply through your local police service and choose the same check type.

Position / Reason (enter exactly):
Voice Coach – private music instruction (1-on-1 and small group lessons)

Organization requesting the check:
Vocal Euphoria

Do not select a Vulnerable Sector Check.

You may not begin teaching until I’ve received a copy
of your completed police record check.

Final Note

This hub will evolve as the studio grows.
